Program Manager, Conference & Events
Salary Range: $65-75,000 annually
Work Location: Hybrid, 2 days per week in office

Role Overview
The Program Manager, Conference & Events is responsible for independently managing multiple client programs from planning through execution. This role oversees event logistics, budgets, vendors, client relationships, and project delivery while ensuring exceptional quality and service.
You will work closely with clients, vendors, and internal teams to bring complex programs to life, while contributing to process improvements, mentoring junior team members, and supporting business growth opportunities.
What You'll Do:
Program Management & Execution
- Lead the planning and execution of multiple conferences, events, and client programs simultaneously
- Manage project timelines, budgets, scopes, deliverables, and reporting
- Build and maintain detailed project plans, workback schedules, run-of-shows, and trackers
- Ensure programs are delivered on time, on budget, and to the highest quality standards
- Manage complex event logistics and oversee on-site execution
- Identify risks, solve problems proactively, and adapt quickly to changing priorities
- Lead client communications throughout program planning, execution, and post-event reporting
Financial & Administrative Management
- Own project financial administration, including invoicing, budget tracking, expenses, timesheets, and reporting
- Monitor program budgets and provide accurate financial updates
- Maintain internal documentation and ensure compliance with company processes and systems
- Support profit and loss management by proactively identifying risks and opportunities
Client & Vendor Management
- Build strong client relationships and serve as a trusted day-to-day partner
- Manage client expectations and provide strategic recommendations throughout program delivery
- Source, negotiate, and manage vendors, venues, suppliers, and event partners
- Ensure all vendors deliver against agreed-upon timelines, budgets, and quality standards
- Identify opportunities to improve programs and support client growth
Leadership & Team Development
- Provide coaching, guidance, and support to Coordinators, Interns, and Team Leads
- Review team deliverables and provide constructive feedback
- Delegate work effectively while maintaining accountability for outcomes
- Promote collaboration and knowledge sharing across teams
- Support performance development and mentoring initiatives
New Business & Growth
- Contribute to proposals, presentations, budgets, and client recommendations
- Support research, brainstorming, and concept development activities
- Identify organic growth opportunities within existing accounts
- Participate in client presentations and business development initiatives

What You've Done:
The successful candidate will possess the following qualifications:
- 3–5+ years of experience in event management, conference management, experiential marketing, or a related agency environment
- Proven experience managing multiple projects simultaneously
- Experience managing budgets, vendors, timelines, and client relationships
- Strong presentation and communication skills
- Experience leading event execution and managing on-site logistics
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience working with project management platforms and event management tools is considered an asset
- Ability to travel and work evenings or weekends as required to support event execution
